Agenda
Review Minutes & Discussion
• Reviewed everyone’s tasks from last week
• Need to email completed tasks and ones that still need to be done to LEAD of task
⁃ Shonda completed her task contacting Mr. Hoffman, she let Anthony know of updated information
• Did Earvin get in touch with the YMCA?
⁃ Need to find out info from him
Meeting Procedures
• Monday meeting we really shouldn’t be planning, more giving out assignments to do for the week
• Monday should be reporting back to what tasks have been accomplished from the week before
• Meetings need to be planned in advance, not last minute so people can plan accordingly
• We NEED to establish a SET meeting consistent every week for our Office Meeting
Cesar Chavez Day
I. Finally contacted Kaboom
⁃ They cannot help with funding this year, not until next year
⁃ Our contact for Kaboom did give us other contacts to move forward
II. Toys R' Us
⁃ Move on to Plan B: see if Toys’R’Us playgrounds can help
⁃ Tony will have it done by Wed.
⁃ Joseph gave Tony some additional contacts for possible sponsors for playground
⁃ Deirdra will help with Toys’R’Us playground possible sponsorship
III. Sponsors/donors
⁃ List of potential sponsors/donors has been created by Chrissy and turned into Tony
⁃ Look into developers and local construction companies
⁃ Contacted Lowe’s for donations
⁃ Contacted Tremendous Trees to see if they will help us again this year
⁃ They need their brooms returned from last year before they can help again
I. Compile a list of all Local Officials and businesses
⁃ Joseph will take care of contacting Local Officials
⁃ Will call Lawrence today and follow up
II. Solicitation
⁃ Tony will compile solicitation list by next Fri.
⁃ Chrissy will help compile it as well
III. Volunteers
⁃ Miracle worked on volunteer schematics
⁃ Volunteers needed and emailed
⁃ Working on questionnaire for volunteers
⁃ We need to know how many volunteers we need for each skill (painting, gardening, etc.) needed on day of
⁃ Needs to be least amount of hassle for volunteers

⁃ Called Hands On for Disney Day posts to put back on

Updates
I. Agendas
⁃ Set agendas for ALL meetings (including with BLU)
⁃ This is so people can keep on track while the meeting proceeds
II. They should also be reporting back on workshops, national days of service and Dance for Education
III. You can assign tasks for BLU members
IV. Meeting
⁃ Mondays @ 1:30 will be meeting to talk about workshops, Dance for Education, and Cesar Chavez Day with BLU.

⁃ used in order to organize individual reports into ONE

⁃ Step-by-Step for how meeting is run
⁃ We need to be more serious about consistency and tasks that needs to be done
⁃ Joseph is willing to write up people and firing if this is not being met
⁃ If someone can’t account for what they have done for the week in meetings, even if they are not there, Tyree will NOT sign-off on hours (per Joseph)
MEETINGS
• Meetings need to be implemented in a TIMELY manner
• Fridays is planning and discussion meetings
• MOTIONS:
⁃ Motion to have Mon. meetings @ 1:30 with BLU & WIG meetings weekly (Wed.)
⁃ Motion to meeting on Fridays as well for YAP members (including Mon. & Wed. meetings)
• Assign BLU TASKS to do for workshops not events, essentially small tasks
• WIG meetings
⁃ updates on tasks assign, what questions or concerns to do you have about your tasks, do you need help?
⁃ A possibility of a blog being made for updates and feedback
⁃ Sabrina & Julian will develop it

I left him a detailed message today requesting that he send the document to my email address with a copy to Tony. If I don't here from him by the CBO today I will call again before the WIG tomorrow.

ReplyDeleteMy task was to create an online registration for volunteers to sign up for the CC Day event, but I am having trouble.
Basically, I talked to Miracle and she said that volunteers need to sign up for the event through the Disney Day website in order for them to get their Disney day. So, when we have registered our event with Hands On then I will post the YAP volunteer application and the link to get disney day credit promptly. Right now, I think the volunteer form should suffice just to obtain emails and info of possible volunteers (we got 1 already). Once Miracle notifies me I will put the app and link online. Right now I don't want to send people to links without confirming they can find us there.

ReplyDeleteMy assignment was to help Tony compile a solicitation list. The reasoning for this is to find "big business" or corporations that would possibly either donate lots of money or supplies. So far...I have come up with a Construction/Supplies list, made up of 11 potential contacts... & a Gardening/Supplies list, made up of 8 potential contacts. I will also begin to work on a solicitation list of potential contacts for getting food donated. If any of you have any ideas of any other "group" that may be a great potential contact, please let Tony or I know.

ReplyDeleteMy task was to find a list of contacts that could be used for the CC Day event and the Dance 4 Ed event. My volunteer recruit.team and I have compiled a list of local churches, colleges, groups and organizations in and around the city of San Bernardino to identify potential resources in acquiring volunteers and sponsors/donors for our events. Though we have listed many contacts, i am still missing a few contact names for some schools, churches and orgs. in the overall list. This will be taken care of as the week goes along. Lastly, if anyone has any contacts that they would like to add feel free to talk w/ me so that we can add more folks to the list.

ReplyDeleteMy assignment were to complete the a list for potential volunteers for the Dance 4 Education, create teams of action for Cesar Chavez Day, and compile a list of demographics in our volunteers that the Youth Action Project would hope to see participate at Cesar Chavez Day. The list of potential volunteers has been completed and will be used as well for Cesar Chavez Day. Creating the teams of action list in still in process because the ability of the volunteers and the amount of labor that will be required to complete the tasks in each area are still being determined. I also created a list of the demographics we would hopefully see in our volunteers, but it needs to be updated.

ReplyDeleteToday I am traveling to the PAL center to continue to get estimates for the project. Ill be bringing Mr. Hampton an additional list of activities we can do on the actual day.
I also started on A toys'r'us grant application and product donation. I'm traveling to the local Lowe's, to submit our event and itemized list to see what they can assist us with. i should be posting again before the end of the day.

ReplyDeleteMy task was to make a Public Relations (PR) plan for the Dance 4 Education event. This PR plan is for BLU Educational Foundation target audiences (sponsors, volunteers, and participants). I have completed the preliminary plan. This proposal will have to be accomplished with the help of the marketing team. Please let me know if you would like to see it before Monday's meeting.

ReplyDeleteI spoke with Michael Hoffman yesterday evening and he will be able to work on the project prior to the actual day of the event. There is no licence agreement needed to dig the holes. The holes need to be 8 inches deep and we will have to purchase or rent the materials. He will not be able to do the work on CC day or after, but he will refer us to another contractor if we don't want him to start early.
Tony, how is this project beginning funded (just the electrical portion)? Please contact Mike to at (951) 782-0312 to follow-up and answer his remaining questions. Call today if possible.
