Office Meeting Minutes 2-19-10

Meeting Procedures
Agenda
Spoke about the information that would be required to be on the agenda.
Set up the agenda to for the different team sections.
Include new business, of anything new that needs to be discussed
Have unfinished business from the meeting before
Have the agenda- do what you have and send them out for corrections and have ready for Sunday and attach the reports to the minutes.

Cesar Chavez Update
Sabrina- Pal center footage for the the Kaboom video. Created plan for next year's members, volunteers for the website, press releases, to have them 6 months in advance before event and have all marketing materials, to have a hard copy.
Tony- met with Rosa and Jesses at PAL center, rough cost of the electricity from Michael Hoffman. notified Home Depot about grant and suggestions. Contacted Denise from Hands for posting of the event.
Miracle- (given by Tony)- created budget list for snack bar for Jam N' Slam
Shonda- contributions form the bossed, curriculums for the computers, create calendars and budgets for fundraisers, workshop plan for the members and discussed w/ Joseph, Tyree, and Alex. Reviewed Earvin's workshop plan.
Rosa- delivered sponsorship letters, made phone calls to different locations for food donations.
Earvin- Create the outline for CCDay, consideration on skilled and unskilled labor for Hands On. Worked on the volunteer recruitment package for Dance 4 Education and needs the questionnaire from Tony.
Laura- Listed the current members for YAP and created action plan for events. Edited the volunteer forms.
Julian- Contacts for events coming up. Took video of the PAL center to edit and create animation, Spoke with Joseph about marketing strategies. Flyers for JAM N' SLAM.
Crissy- Gave AVHS flyers for JAM N' SLAM. Shout outs for the JAM N' SLAM on 99.1 will begin on 2/22. Matt Howell will provide basketballs. Email agenda/itinerary for Jam N Slam. Rosa would have the list of all the volunteers and what times the volunteers will be there.
Joesph- contacted the mayor's office about security/police. Send tax information to Mrs. Jones.

Action Items
Rosa-Call all members as a reminder about the JAM N' SLAM on Wednesday.

Joseph- contact guest list on facebook to sell tickets

1. Securing the Jam n Slam event
2. Finalizing the marketing plan
3. Helping others in whatever areas they need help in
I will be in and out of the office all week trying to split my time with getting ready to leave and working in the office. As of right now, I have over 700 hours committed and I think I am ready to go!

ReplyDeletewell...its no secret that these past 2 weeks i've just been putting EVERYTHING into place for the Jam N Slam game. I've been working on keeping it as organized as possible & I want to thank everyone for their hard work & help. All the major stuff is taken care of...so all I need from you is your full cooperation tomorrow! :) Tyree will be sending out the agenda for the day & your duties sometime today...look out for that! I know tomorrow will be a great success will ALL of your help...& I don't know about you, but I'm ready to have some fun!! :) can't wait till tomorrow & i get to see all your lovely faces...

ReplyDeleteI sent out an email to all the YAP office members to confirm which team they would be leading for Cesar Chavez Day. I would really appreciate if the office team let me know as soon as possible. I would like to have a master list of all the teams and leads by the first week, the latest would be the second week. I have also been working on the finding a ref for the Jam N' Slam and that has been successfully accomplished by Tyree and Crissy. Getting things ready for the JAM N' SLAM.

Hello everyone...
ReplyDeleteThis week I will be re-organizing the volunteer recruitment package for Dance 4 Education and completing the brief summary of my team activitiies for Angelica and the PR plan. I am waiting for Mrs. Wiggins from the YMCA to contact me back for her list of skilled constructors for the PALS clean up event. If there is a need for any help w/ completing an assignment let me know or additional information please let me know. Also, tomorrow I will be one of many other YAP participants who will be playing in the bball game fundraiser so I hope everyone wishes the YapStars a vicory and the best of success!!
P.S. Bri you will be dearly missed as well :).
I am still working on acquiring resources as well as a project manager for CC day.
ReplyDeleteI met with a playground auditor on monday, informed me that the ground is not suitable for playground standards. There is no protection should children fall, especially on the swing set. He recommended Playground Mulch in place of the dirt as well.
ive contacted Home Depot off 21st street, and they said they are currently working on getting a bigger grant for our project. If it is accepted, they will let us know what needs to happen next.
Community action Partnership has paint from previous projects, and will be delivering it to the pal center hopefully by the end of today.
Ill be following up Habitat for humanity as well, to find if they have any materials left over as well.
I called Denise and had her freeze the account for the Cesar Day sign ups, because we do not have enough materials to have everyone working at the time.
I think that once we have more materials secure, we can continue with the sign ups. They will fill fast once its re opened. there were already 54 sign ups after 3 days.
I will also follow up with those that have been sent a letter.

ReplyDeleteI also spoke with Habitat for Humanity, and the contact there, Maritza solis has some updates. she is currently trying to secure skilled volunteers, as well as a project manager. They also have paint, and may have hammers, and other tools

Ask yourself does this post accurately reflect my productivity for the week, does it provide enough details for others to see what I accomplished? Remember the goal is to help you create reports that accurately reflect what you accomplished for the week. You will be able to use this information to measure your own productivity and make adjustments where needed. Think about your role and what you did in relation to that? Use this activity to update your reports and turn them on Friday at the office team meeting.

2. Withdrew $300 for food and referees gave to Tremaine
Park project
1. Negotiating sponsorship with county of san bernardino. Haven t confirm sponsorship level yet.
a. Tony whats the status of the information sent to the Assembly member?
2. Request assistance from Job Corps on irrigation project. Connect Job Corps rep to Mr. Hampton. Will follow-up on Monday on the status.
Sabrina.....don't even get me started on how much I'm going to miss you!!! By the way, I went to the Kiwanis meeting last night and Roxanne read your thank you card to the group. They all really appreciated it.
