Meeting minutes for 2/5/10

Minutes for 2/5/2010 1-2pm

Attendees: Deirdre, Sabrina, Julian, Laura, Tony, Chrissy, Joseph, Shonda, Azalia, Rosa, Dominique, Ian, Byanet, and Grace

Absent: Emma Mefom, Miracle, Earvin, and Stan

Tony reviews the minutes from 1/22/2010

-Joseph asked about Earvin’s task, Tony had Earvin’s contact list of organizations for volunteers. Therefore Earvin completed his task. Tony submitted with the help of Tremaine an application for Toys “R” Us funding. Not for money but for equipment i.e. playground set. He however did not look up his 2nd task. He will meet with the Kiwanis club Wednesday night, and with the help of Chrissy he compiled a solicitation list. The list consists of 11 construction companies, and 8 gardening companies.

-Joseph was thinking that someone should develop a script for other members who will be calling the different businesses. Script will be done by Tony and it is due by COB 2/5/2010. Phone calls will then be made by Tony, Chrissy and Stan.

-How can this help our business? (How can it benefit their company?) This is the question we should be able to answer when calling out to different businesses. Can we answer this question when calling? We need to come up with possible answers, if we’re going to get them to say yes. Get on this ASAP

Updates on C.C. Day

- How much money do we need? As much as possible, but for the resurfacing of the basketball and tennis courts it’s going to cost 6,700. Yet we’re trying to raise about 10,000 to 15,000 dollars. Tony has a meeting on Monday about the irrigation system. Now as far as contacting different companies for supplies etc. we need multiple scripts such as for supplies, food, & money. We also need resources people and skills, those are the things we want to ask the company for. Azalia suggest we get individuals with skills and also have individual people donate supplies.

-Joseph suggest we have one person just work on contacting the big companies, then one person work on the smaller or local businesses. Joseph spoke with supervisor Gonzalez, he needs tony to send him the letter so he can send out. He is also waiting for Lawrence to schedule the visit, once he gets the letter he will be able to really send out and ask around. He brought 2 binders of business cards that we can look into and pick and choose some businesses.

- Chrissy completed her task of compiling the solicitation list. Tony reported on Miracle’s updates, she did not complete her task; however Sabrina did what Miracle was suppose to do and completed a questionnaire for the volunteers to fill out. Sabrina’s waiting for us to be registered with hands on so she can post all the information necessary for the volunteers to complete.

- How we are going to get volunteers? By the Disney day & Valley Bound programs, Rosa talked to her superior and he said that their program was allowed to participate in C.C. day. Also we are going to have Earvin, Miracle and possibly Deirdre call the contacts on the list. Also we want to have people from Muscoy community come out.

-Joseph says we need to be specific on what volunteers are going to do as far as letting them know what there is that they can pick out of, and getting them interested in wanting to volunteer. Laura says we should get interest list from people in the Valley Bound program then move from there. Again we need people with skills.

-Joseph said EVERYONE must have an individual updated WRITTEN report (typed). Byanet needs to make an agenda that is very detailed for all the meetings. EVERYONE needs a copy of the task sheet. Joseph needs to know what the exact plan is for the volunteer process, prices, supplies etc. give due dates for when it needs to get done, flyers, possible schools etc. Marketing team will work on letting recruitment know how we can solicit volunteers.

-10th grade & up for volunteers is our target for high school students. We want to try and get high school students that we work with and others to keep them incorporated with YAP. Also we want more college students’ then high school students.

-Earvin was suppose to work on workshop for the beginning of C.C. day that gives the meaning of service and why we do it; also to give information on service. Shonda will find out what Earvin’s doing and she will take it on. Shonda have Earvin email you what he has. Tony and Joseph will work on the budget together.

-Sabrina says we did not get money from kaboom but they do provide good resources such as how to … etc. she had some ideas such as painting chess and/or checker boards on pavement, have volunteers paint ribbons and have them tie to gate to make the park look better since there is so many gates. But as far as Kaboom they do have a video contest, Sabrina and Julian will work on that , Byanet will provide her video camera. We need to also look into getting someone to record the video. Chrissy will look into that and Julian will ask his brother (a professional)

-We need to decide what exactly we can do to fix up the park. We’re going to zone out each area of the park with team leads. We need to split up the supplies list separated by all the different items; Sabrina is in charge of that. Next we will need to split up the task this week & assign leads to different areas next week.

Jam N’ Slam updates

Chrissy had the official date of Thursday February 25th, 2010. She got the ok with 99.1, Arroyo’s Vice President, and the Athletic Director and she’s waiting for the principle to ok it. Sabrina needs prices to put on the flyer. Joseph and Chrissy will be meeting with Arroyo next week to finalize the prices. Job Corps wants to be a part of the YAP team for this event, Joseph says select wisely. Julian will need to email Joseph by COB 2/5/2010. Also Chrissy needs someone to get newspaper to advertise the event, which will be assigned to the Marketing Team. (Sabrina & Julian)

  1. correction to the minutes: Tony reviewed the minutes from 1/29/2010 and also Tashika LeSure was in attendance. Also it should say Arroyo Valley's Vice Prinicple.

    This week I am wigging on Monday because I will not be able to update on Wednesday. I am currently working on my Dance 4 Education Dance Competition tasks. I also will be working on recruitment for C.C. day along side Miracle and Earvin. I currently can not help with anything else but I would ask that if anyone has any free time can they help me find events in the Inland Empire for the month of March.

  2. Hi all...
    i continued to compile the solicitation list for CC Day with adding an additional category of Attorneys/Lawyers/Firms for potential sponsors, hopefully to possibly generate some funds. I also got the OFFICIAL date for Jam'n'Slam approved by the principal of Arroyo Valley HS, which will be Thurs., Feb. 25!! Get the word out!!

  3. Hello ALL. This is what ive done since Friday.
    I have completed.

    I have completed the Budget for the day of event, it is still ongoing, but as of now,it is roughly around $14,000.

    I have also completed a phone script to follow when soliciting companies. They are for food, tools, and even money.

    Also, if you do not have a list of the tasks, please let me know, and i will email you one asap.

    Today I will also be makin a presentation to the Kiwanis Club of San Bernardino at the Marie Callendars of Highland for financial support..


    ALSO. CAN we make a scheduled Visit to the PAL CENTER on MONDAY???. That way, everybody will be able to see the site. It can happen anytime from monday-thursday(but i wouldnt be there on tues and thurs)
    All we would have to do is call Mr Hampton to let him know.

    This week I am working on developing a marketing plan for the CC Day event. This should be finished by Monday (2/15). Also, my task was to update the item list, I am finishing that up now and I will be sending it to Tony ASAP. I am also working on a powerpoint seeking sponsorships, the kaboom video, and marketing materials for BLU.

  5. Dierdre what spacifically are you working on? What was your goal for the week and what have you accomplished for both events?

    Chrissy what the status of the meeting with Dr Craig? Do we still need to talk to her about the proceeds? Do we have an update on the YAP basketball team volunteers?

    Sabrina make sure you and Julain the team who will be using marketing plan is in the planning loop.

    My task
    I will be using the letter developed by Tony to solicit the help of local officals. Mr. Hamption and I are working to coordinate a tour of PAL for the public officals.

  6. planning concept to consider


    "If we manage Inputs (activities/resources that produce outcomes), then

    we can produce Outcomes(specific results delivered my managing inputs),

    then
    we will achieve a Purpose(impact anticipated by doing project or task, change expected from producing Outcomes);

    If
    we achieve a Purpose, then we contribute to an important Goal(high level, big picture strategic or program Objective to which the project contributes)

    More succinctly;

    "If Inputs, then Outcomes;
    If Outcomes, then Purpose;
    If Purpose, then Goal."

    Think of these various objectives as rungs on a ladder. The logic that links each rung permits a disciplined approach to project design.

    In general, project teams (you role) manage Inputs, which produce Outcomes to achieve a Purpose, which contribute to a Goal. Inputs and Outcomes are generally within the control of the project team (your role) while Purpose and Goal are (my role) open communication within the teams and across roles allows us all to have input and influence across the board.

    Example

    Goal: Better customer service for YAP
    Purpose:Employees use new procedure

    Outcomes: 1.New procedures developed
    2.Staff trained in procedures

    Inputs: 1. Create task force
    2. Develop procedures
    3. Create training
    4. Train staff

  7. Greetings,

    This week I brought in the video camera to see if it could be used for the project we potential use order for the Cesar Chavez commercial. I called Matt Howell the athletic director at Arroyo Valley to see about the referees for the Jam N' Slam. I also looked into different prices for potential teams jerseys, or shirts. I also created the potential team that would be participating in each of the areas for Cesar Chavez. I will keep updating this list because I wanted to discuss among the office members which team they would be leading. I also would appreciate if anyone wanted to add anything to the agenda, that they would like to discuss.

  8. Joseph the task I am currently working on is for the Dance Competition portion of the Dance 4 Education. I have to identify potential prizes, also I must develop a packet of what I have completed thus far and set up a meeting with my new team to give them the packet and discuss potential task. As far as recruitment I need to identify my role in that process so I know exactly what I am to do. Therefore I will speak with Tony & try and set up a meeting with Miracle and Earvin.

    My goal for the week was to finish my task for the Dance Competition and identify my role in the recruitment process for Cesar Chavez day.

    My accomplishments: I have created a packet for my new team, I have also identified possible prizes for the Dance Competition. I have yet to speak with Tony but that will happen today before the meeting if possible.

  9. Hey Team (2/17/10),

    Earvin, can we schedule time on Thursday, Feb 18 to meet to discuss what you have so far in terms of the workshop for CC Day. I will be at the office by 10am and will be there for most of the day.

    The only thing I have to report is today I met with some people who work for the City of Rancho Cucamonga who may be interested in working on CC Day as a volunteer, especially if we are requested with Hands On for the Give a Day Get a Disney Day.
